How to plan online bookings for a salon

Online booking can free a salon from endless WhatsApp back and forth, if you set it up around your real diary.

For a busy salon, the phone and WhatsApp never stop. Someone wants a colour on Saturday, another wants to move their appointment, and you are answering messages between clients with foils in your hands. A good online booking setup can take most of that off your plate. The catch is that it only works if you plan it around how your salon actually runs, not around a generic template.

Map your services honestly

The system is only as good as the service list behind it. For each thing you offer, write down how long it really takes and what it costs. A cut is quick. A full colour with a treatment might be two or three hours. If your setup thinks every appointment is thirty minutes, your diary will be chaos by the second week.

Be honest about the awkward ones too. A balayage on long, thick hair takes longer than on short hair. You may need to build in a range or a buffer so you are not left with a client half done and someone waiting in reception.

Match it to your staff and your chairs

A salon is not one diary, it is several running at once. The setup needs to know who does what. If only one person does nail extensions, it must not let two clients book that slot at the same time. If a junior cannot do certain treatments, those should not appear on their calendar.

Think about your physical limits as well. Two stylists might be free, but if you only have one basin, back-to-back wash appointments will collide. The best plan mirrors your real space, not just your staff list.

Build in buffers and prep time

Leave gaps between appointments for cleaning down, a quick tea, and running a few minutes over, which always happens. A diary packed with zero breathing room looks efficient on screen and falls apart in real life. A little buffer keeps the day calm and stops one late client wrecking everyone after them.

Decide your deposit and cancellation rules

No-shows hurt a salon more than almost any other business, because that chair sits empty. This is where deposits earn their place. Decide upfront whether certain services need a deposit to hold the slot, how much, and what your cancellation window is. Put those rules in plain language on the booking page so nobody is surprised.

Also decide what a client needs to tell you before they arrive. For colour especially, a quick note about previous dye or box colour can save a ruined appointment.

Add reminders

Automatic reminders the day before are the single biggest cure for no-shows. A short WhatsApp or SMS that says when the appointment is and how to change it means fewer empty chairs and fewer people phoning to ask what time they are booked.

Keep a human option open

Not everyone wants to book through a screen, and that is fine. Older clients especially may still prefer to phone. The system should take pressure off the phone, not replace it entirely. Keep a visible number for people who would rather talk, and make sure a slot booked online and one taken by phone land in the same diary. The worst outcome is double-booking a chair because the two do not talk to each other.

Do not put everything online at once

You do not have to open every service on day one. Start with your straightforward, predictable appointments, the standard cuts and treatments, and keep the complex colour consultations as an enquiry first. Once you see how it behaves with your real diary, you can open up more. A proper booking system can be as strict or as flexible as you make it.
